Kenya Eligibility

Participation is open on a self-sponsored basis to players who scored 6 points or higher in the Kenya U-17 Nationals. Accompanying persons may also attend. Any externally sponsored national team will be communicated separately by CKF.

Participation Categories

Separate Open and Girls sections are provided in these age categories:

• Under 7: Born on or after 1 January 2019

• Under 9: Born on or after 1 January 2017

• Under 11: Born on or after 1 January 2015

• Under 13: Born on or after 1 January 2013

• Under 15: Born on or after 1 January 2011

• Under 17: Born on or after 1 January 2009

Host Requirements and Arrangements

Accommodation: All players, officials and accompanying persons are expected to stay at one of the official hotels:

• Mercure Hotel Windhoek (3-star)

• Movenpick Hotel Windhoek (4-star)

Hotel rates include breakfast, lunch and dinner.

Meals and extra nights: The first included meal is dinner on 6 December; the last is breakfast on 14 December. Extra meals and accommodation outside the official arrival/departure window are at the participant’s cost.

Registration: Kenyan entries will be consolidated through CKF. Required information and documents:

• Full names                                           - Notarized parental consent

• FIDE ID                                                - School consent

• Rating/title, if any                               - Yellow Fever card

• Passport number

• Scanned copy of passport

• Passport-size photograph

Airport transfer: Registered participants receive free transfers to and from Hosea Kutako International Airport. The full travel itinerary must be submitted in advance.

Visa support: The host will provide an official invitation for visa processing where required - Not required for Kenya

Air Ticket Arrangements

Participants may choose either of the following:

• CKF-coordinated air ticket: CKF may coordinate group airfare. The actual fare will depend on availability when tickets are booked and the confirmed group size.

• Own air ticket: Participants may purchase their own return tickets. The airfare component will not be payable to CKF. The complete itinerary must be sent to CKF immediately after booking for submission to the host and airport-transfer coordination.

• Travel Insurance: ALL participants must pay for travel insurance through Chess Kenya. We are mandated to provide group travel insurance for the entire delegation

Payment, Registration and Expression of Interest

CKF deadline: Confirm participation and pay the applicable amount to the Chess Kenya USD account by 9 November 2026. This is before the host deadline of 15 November 2026, allowing CKF to consolidate entries and remit the required fees.

Late registration is subject to a US$100 host penalty and acceptance by the organizers.

Refund position: Host accommodation, registration and ACC Tournament Fees are non-refundable once paid or remitted if a participant later fails to attend. Air-ticket changes or refunds are subject to airline fare rules. The sender is responsible for bank or transfer charges.
